I wanted to share another AI-powered automation with you. I don’t know where my face is. I apologize for that. We’re going to talk about how we’re leveraging AI and automation to streamline workflows in sales, marketing, and advertising. I’m super excited to share this one with you. It’s saved me a tremendous amount of time when it comes to project management and workflow automation powered by AI.
Let me give you some context. We onboard new clients and take them through a fast start program, a six-week program where we meet with them weekly, identify goals and objectives, answer any questions, and create accountability while building their organizations. After the initial six weeks, we move to a bi-monthly strategy with meetings every two weeks for two months, and then to monthly meetings. These monthly meetings are check-ins to review KPIs and answer any questions, coupled with on-demand access to their project manager for any emergency issues.
Before, we spent a lot of time recapping meetings, setting goals, and rolling them into action lists. We’ve automated that process considerably, taking hours of follow-up time and turning it into a simple workflow built into the RazoRSharp CRM. Let me give you an example.
Recently, I had a meeting with one of our clients, Coach Dave, where we discussed his project and weekly objectives. We use Loom for desktop recording of these meetings because it has AI built in. Loom allows us to write documents, create JIRA issues, and write messages. By hitting the comment button, it timestamps and adds comments to the video’s history. It also automatically generates tasks under the activity tab, automating our workflow.
After the meeting, I copy the transcript, tag it, update the title to make it searchable, ensure the summary is accurate, and jump over to the Razor Sharp CRM. We’ve built in AI bots for workflow automation. For example, the Loom recording to follow-up email generator lets me copy and paste the transcript, include necessary links, and submit it to ChatGPT 4.0 to generate a follow-up email based on the call. This email summarizes the meeting with detailed action items and timestamps, allowing for easy organization and follow-up.
This process is incredibly powerful as it allows us to quickly create emails summarizing meetings from Loom recordings. We’re also building workflows to create knowledge base articles for training and internal process development.
