Hey, in this short video, I’m gonna talk with you about how to send email marketing campaigns, how to update your automation sequences inside of the Razor Sharp CRM on high level so that you can remain in contact via email with one of your most important assets.
And that is your contacts and customers, potential customers and customers.
So this training originated from a client question. So, Scott, thank you very much for that. I’m gonna jump right into the training and answer your question specifically. And then I will talk a little bit more about some of the other nuances associated with contact management, setting up automation sequences to include email, and then also setting up individual Hulk email campaign sequences as well.

Let me go ahead and jump in to get this ticket answered. Scott had a question about how to send event reminders to all of his contacts. He has this automation sequence set up, and it’s kicked off by this tag. I actually did a little bit of research and I tried to look for that tag in regards to the contact association, but I couldn’t find anything. So what I did is I noticed that this first step in the actual campaign automation was to sign all the contacts to Scott.
The first thing I’m gonna want to do is create a smart list. So if I come in here and I just update my filters, I can add this filter here that says “assign to Scott.” What that’ll do is update the filters, giving me the ability to segment this list a little bit further. Instead of all contacts, I’m actually gonna go a little bit deeper, and this will be my 351 contacts that we’re sending an update notification to.
If I wanted to send them a quick email reminder, I could just select this, select email, and send the email right out of our contacts here. So that’s one of the ways that we can accomplish this. If I wanted to utilize this list as a segment, I can select this, save it as new, and create a new list. I’ll then manage the smart list and share it with the required users without making it a global list. I am sharing it with the individual user looking to send the sequence.
Then I’ll jump into the marketing tab, go to email, and then campaigns. I’m going to create a new campaign and go through the process of building out the actual campaign itself. I’ll create a new blank template, utilize the design editor, and format this as a personalized email by adding custom fields like the contact’s first name.
Of course, we would add additional content, and when we go to schedule this, for a small segment, we would send it to the entire segment. We’ll fill out the “from” email, ensuring the domain is verified. If we get an error, we need to select a verified domain to increase deliverability. We want emails to end up in the inbox, not in junk mail or the promotions tab. Setting up DNS SPF records, CCM, and similar configurations is essential to achieve this.
If you need support with that, please let me know. Now, you can send this to a smart list. Select the event reminders, and it will select all users in the smart list we just set up.
To recap, start by segmenting your contact list with tags or assignments. Create new smart lists, then associate the segments with sending out the actual email. For campaign or workflow automations, make sure to tag records for start and stop sequences. This means adding a tag at the first step to start a sequence. At the bottom of the sequence, ensure the contact has completed the entire workflow by using tags.
Additionally, remove contacts from the current workflow to avoid them being stuck, which could cause issues. If you are creating automation sequences for lead nurturing, event nurturing, or other types of sequences, ensure you add a tag at both the start and end to monitor their progress. Segment lists by nurture sequences and daily email updates to prevent over-notification.
Make sure to set up a subdomain to increase email deliverability, segment lists, and use the marketing tab to create campaigns. If you prefer more functionality while drafting emails, use the marketing tab. Alternatively, you can send bulk emails directly from the contacts tab.
